Guide for Presenters/Chairs

Speakers Guide

The program will consist of 2 patterns of presentation, which are LIVE and Prerecorded sessions. CPD and Oral Sessions will be mainly LIVE and Poster sessions will be organized as prerecorded. LIVE sessions will be broadcasted by Zoom Video Webinar at specific times on the scheduled dates. Poster sessions will be available as on-demand delivery only. We are also going to arrange on-demand delivery for CPD and Oral sessions in May for a few weeks as far as approved.

All Speakers are required to make pre-registration for the seminar no later than March 15. All registrants will receive invitation email via Zoom Webinar and another email with instructions on how to access the program in April. Please sign in Zoom Webinar as an attendee during the seminar period.

For CPD and Oral speakers
  • CPD and Oral speakers can make their presentations as live online or can release their pre-recorded video. The presentation video submitted to the Secretariat until April 14, will be played/shared by organizer in accordance with the timetable.
  • All CPD and Oral speakers must standby online during the allocated session time and attend live Q&A session even if each presentation is made by the pre-recorded video. They are requested to standby at least 15 minutes before the beginning of your session starts. Host (Organizer) will promote chairpersons/speakers to a panelist from attendee.
For Poster speakers
  • All poster speakers are requested to upload their presentation video by April 14.

How to create your presentation in PowerPoint :
For all CPD, Oral and Poster speakers

- Widescreen format, using the 16:9 aspect ratio to utilize the full screen
- No restriction on the number of slides, as far as you keep the length specified above.
- Show presentation title, your affiliation and name on the first slide. We recommend inserting your photo on the first page as well.
- Use standard font which is originally installed by OS in order to avoid garbled characters.
- If personal information of patient(s) including video/picture(s) is included in the presentation, it is requested to confirm consent of the patients/guardians.
- Conflict of interest (COI) should be presented ahead of the presentation.

How to record and upload your presentation :
For CPD, Oral speakers who make their presentations by the pre-recorded video
For all Poster speakers

  1. Presentation data must be prepared by using PowerPoint with narration in English.

    *Need to have audio narration embedded.

  2. The PowerPoint file should be converted to MP4 (.mp4) or MOV (.mov).
    - Only mp4 or mov format will be accepted.
    - Presentation video files should be no larger than 1 GB.
    - Naming your file : Program No._your family name_submission date (MM/DD).mp4
    e.g.) P-51_Yamada_0401.mp4
    - Check the video once you recorded and be sure that time length meets the condition. The organizers are exempt from responsibility for any sound/screen problem, and will stop the video if it overruns the allotted time.

  3. The presentation file should be uploaded to the submission system.
    - Pre-recorded video submission period : from March 15 to April 14, 2021 (JST).

Chairs Guide

  1. Chairpersons are required to make pre-registration for the seminar no later than March 15. All registrants will receive invitation email via Zoom Webinar and another email with instructions on how to access the program in April. Please sign in Zoom Webinar as an attendee during the seminar period.
  2. Chairpersons are requested to standby at least 30 minutes before the beginning of your session starts. Host (Organizer) will promote chairpersons/speakers to a panelist from attendee at latest 15 minutes prior to the assigned session starts. Please confirm that all speakers are connected to Zoom. The organizer will attend your session to assist and inform you of any last-minute changes or matters.
  3. If a presentation is canceled, please leave the respective time slot as a gap in the schedule. Please DO NOT MOVE REMAINING PRESENTATIONS in the time slot in order to facilitate the audience to listen to the target presentations as scheduled.
  4. CPD and Oral speakers can make their presentations as live online or can release their pre-recorded video. Please note that allotted time is total 20 minutes including 15 minutes talk and 5 minutes Q&A for each speaker. If the presentation exceeds 15 minutes, please prompt to finish the presentation to ensure that the program goes on time.
  5. Each presentation will be followed by a short question and answer (Q&A) session. The length of each Q&A session will be at the discretion of the chairperson(s), depending on the number of speakers and the progress of the presentations in the session. In cases when extra time is available, the chairperson(s) may invite further questions or remarks from the audience to facilitate the discussions.
